Workforce & Employee Management Platform The project was designed under the company Malam Team

A comprehensive platform designed to streamline workforce and employee management for diverse organizations.


The Main Problem


Managing employees and workforce operations across various departments and locations presents numerous challenges:

• Fragmented Systems: Companies often rely on multiple tools for tasks like time tracking, client communication, and report generation, leading to inefficiencies.

• Lack of Real-Time Insights: Managers struggle with outdated or siloed data, hindering timely decision-making.

• Complex User Roles: Different user types (e.g., HR personnel, branch managers, employees) have varying needs, making it difficult to provide a unified experience.

• Inefficient Communication: Disparate communication channels result in missed messages and delayed responses.


The Solution


Systematic offers an integrated dashboard that centralizes all employee and workforce management functionalities:

• Unified Dashboard: Provides a holistic view of operations, including real-time data on employee activities, client interactions, and organizational metrics.

• Time Tracking Module: Enables employees to log hours, upload relevant files, and view reporting data seamlessly.

• Client Management: Maintains a comprehensive client database with communication logs and service histories.

• Employee Directory: Offers detailed profiles, performance metrics, and communication tools for each employee.

• Report Generator: Allows for the creation of customized reports based on various parameters, aiding in strategic planning.

• User and Branch Management: Facilitates the administration of user roles, permissions, and organizational branches or kits.


User Research


To understand user needs and pain points, we conducted surveys and interviews with stakeholders across different organizational levels:

• HR Managers: Highlighted the need for streamlined onboarding and performance tracking tools.

• Branch Managers: Emphasized the importance of real-time data to manage daily operations effectively.

• Employees: Sought intuitive interfaces for time logging and accessing personal information.

Insights from this research informed the platform’s feature set and user interface design.

  1. Role: Human Resources Manager Goals: Efficiently manage employee records, oversee recruitment, and monitor compliance. Pain Points: Navigating multiple systems to access employee information.

  2. Role: Branch Manager Goals: Monitor team performance, manage schedules, and ensure client satisfaction. Pain Points: Lack of real-time data and cumbersome reporting tools.

  3. Role: Staff Member

    Goals: Easily log work hours, access pay slips, and communicate with management.

    Pain Points: Complex interfaces and delayed responses to queries.


Market Research


We analyzed existing workforce management solutions to identify gaps and opportunities:

• Tool A: Offers robust time tracking but lacks integrated communication features.

• Tool B: Provides comprehensive reporting but is not user-friendly for non-technical staff.

• Tool C: Excels in client management but doesn’t support multi-branch organizations.

Systematic aims to combine the strengths of these tools while addressing their shortcomings.


Information architecture

The platform’s information architecture is designed for intuitive navigation:

• Dashboard: Central hub displaying key metrics and notifications.

• Employees: Access to employee profiles, performance data, and communication logs.

• Clients: Database of clients with service histories and contact information.

• Reports: Tools for generating and exporting various reports.

• Settings: Configuration options for user roles, permissions, and branch management.
